https://www.practitionersystems.com is operated by Practitioner Systems.
Address for correspondence and service of documents: Practitioner Systems, Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA
Contact email: hello@practitionersystems.com
We are not registered for VAT.
These terms govern your use of https://www.practitionersystems.com and every free asset published on it, including lead magnets, scorecards, downloads and sample documents.
By using the site or downloading a free asset, you agree to these terms. If you do not agree, stop using the site.
2. What is governed elsewhere
Purchases are governed by the Purchase Terms and Conditions.
Use of purchased materials is governed by the Licence Terms.
The Licence Summary summarises the Licence Terms. Where it differs from the Licence Terms, the Licence Terms apply.
The scope of the materials and our liability in connection with them are governed by the Scope and Liability Statement.
Cancellation and refunds are governed by section 10 of the Purchase Terms and Conditions. How the right to cancel works is explained in the Cancellation Information and Model Cancellation Form.
Complaints about a purchase are handled under section 15 of the Purchase Terms and Conditions and section 10 of the Cancellation Information.
Where the Purchase Terms and Conditions, the Licence Terms, the Licence Summary or the Scope and Liability Statement conflict with these terms in relation to a purchase or to purchased materials, those documents apply.
Our use of personal data is set out in the Privacy Notice. Our use of cookies is set out in the Cookie Notice.
Each of these documents is published on https://www.practitionersystems.com.
3. Free assets
Free assets are supplied for your own use in your practice.
You may not resell a free asset, redistribute it, publish it or supply it to another practitioner.
Copyright in every free asset remains with us. Downloading a free asset gives you permission to read it and use it in your own practice. It transfers no rights and grants no licence beyond that.
Free assets are supplied as general operational and business material, prepared for practitioners generally. They are prepared without knowledge of your practice, your clients or your circumstances. They carry no clinical, medical, nutritional, legal, tax or insurance advice.
You remain responsible for your own scope of practice, your registration, your insurance, your compliance with the law as it applies to you, and every professional judgement you make with a client.
4. Liability for free assets and site content
Free assets and site content are supplied without charge and without warranty of any kind, express or implied.
Liability for any loss arising from your use of the site, from your use of a free asset, or from anything you do or fail to do on the basis of either, is excluded to the fullest extent the law permits. This includes loss of profit, revenue, business, contracts, clients, goodwill, reputation or data, and any indirect or consequential loss.
This section applies to the site and to free assets alone. Our liability in connection with purchased materials is set out in the Purchase Terms and Conditions and the Scope and Liability Statement. Your statutory quality rights are set out at section 10.3 of the Purchase Terms and Conditions, and the position on defective materials at section 10.5. Complaints about a purchase are handled under section 15.1 of that document.
5. Carve-out
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded or limited.
Where you are a consumer, your statutory rights are unaffected.
6. Intellectual property in site content
All content on the site, including text, images, layout, structure, documents and downloads, belongs to us or is used under licence, and is protected by copyright and other rights.
Practitioner Systems is an unregistered trade mark. Nothing on the site grants you any right to use it.
You may view the site and print or download individual pages for your own reference. Anything beyond that requires our prior written permission.
7. Acceptable use
You may not:
-
Copy, republish, redistribute, resell or commercially exploit any part of the site or its content.
-
Scrape, crawl, harvest, mine or otherwise extract content from the site by automated means, other than by a search engine indexing the site for search results in the ordinary way.
-
Circumvent any technical measure that restricts access to any part of the site.
-
Introduce any virus, malware or other harmful code, or attempt to gain unauthorised access to the site, its server or any connected system.
-
Use the site in any way that is unlawful or fraudulent, or that damages or disrupts it or anyone else's use of it.
-
Use any content from the site in a way that suggests you are certified, accredited, endorsed, approved or qualified by Practitioner Systems.
We may restrict or withdraw your access to the site where these terms are breached, and we will report criminal conduct to the relevant authority.
8. Third party links
The site may link to sites we do not control. Those links are provided for convenience. We do not endorse them, we are not responsible for their content, and we accept no liability for anything arising from your use of them.
You may link to our home page, provided you do so fairly and lawfully and in a way that suggests no association, approval or endorsement that does not exist. We may withdraw that permission at any time.
9. Availability and changes to the site
We work to keep the site accurate and available. We give no promise that it will be uninterrupted, error free, secure or free of anything harmful.
We may change, suspend or withdraw any part of the site, and any free asset, at any time and without notice.
10. Changes to these terms
We may update these terms. The version in force is the one published on https://www.practitionersystems.com, with the version number and effective date shown at the top. Your continued use of the site means you accept the version in force.
11. Governing law and jurisdiction
These terms are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from them. Where you are a consumer resident outside England and Wales, you may bring proceedings in the courts of your country of residence, and you keep the protection of the mandatory consumer law of that country.

Purchase Terms and Conditions
Version 1.0. Effective 20 September 2026.
These terms apply to any purchase from the Practitioner Systems product line, regardless of which product, pricing or offer is purchased. By completing a purchase, you agree to be bound by these terms.
1. Who we are
Practitioner Systems is a trading name of Sarah Shakespeare, a sole trader established in the United Kingdom.
Address for correspondence and service of documents: Practitioner Systems, Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA
Contact email: hello@practitionersystems.com
We are not registered for VAT in the United Kingdom, and we are not registered for sales tax, GST or any equivalent tax in any other country. Where Payhip acts as reseller for your territory, it accounts for any VAT due there and issues the tax receipt for that transaction.
Contact us at the email address above for any question about your purchase, your access, or these terms.
2. Definitions
'Practitioner Systems', 'we', 'us' and 'our' mean the sole trader named in section 1.
'You' and 'the practitioner' mean the single named individual on the purchase record. The licence granted to you is personal to that individual, on the terms set out in the Licence Terms.
'The materials' mean the documents, templates, guides, protocols, worksheets, blueprints, planners, trackers and other content that make up the product purchased, in either the practitioner materials category or the client materials category.
'Practitioner materials' and 'client materials' have the meanings given in section 1 of the Licence Terms. Each document states its category on its face. Client materials are marked as client-facing material and may be issued to your own clients on the terms in section 5A of the Licence Terms.
'The licence' means the separate Licence Terms document, which governs how you may use the materials once purchased and forms part of your agreement with us alongside these terms.
'The Scope and Liability Statement' means the separate document of that name, which sets out the scope of what we supply and the limits of our liability, and forms part of your agreement with us alongside these terms.
'A product' means a separately priced item in the Practitioner Systems product line.
'The product page' means the page describing a product at the point of sale, including its contents, format and price.
'A consumer' means an individual acting wholly or mainly outside their trade, business, craft or profession.
'The order confirmation' means the email we or the platform send you confirming your purchase.
'The platform' means Payhip.
'Buyer Identifier' means the unique reference we add to the files supplied to you following your purchase, which ties those files to your purchase and to you as the named individual on the purchase record.
'The Cancellation Information' means the separate Cancellation Information and Model Cancellation Form, published on our website, linked from the product page and from the checkout.
'The Website Terms of Use' means the separate document of that name. It governs use of our website and any free asset published on it. It does not govern your purchase or your use of the materials.
'The Privacy Notice' means the separate document of that name, which sets out how we process personal data. It is a transparency notice and forms no part of the order of precedence at section 3.7.
'A bundle' means a product made up of more than one document set and sold at a single price, including the Systems Bundle, the Complete Library and the Complete
Client Tools Collection.
'The territory of sale' means the countries listed at section 3.8, being the countries in which we offer the products for sale.
3. Who you are contracting with, and how the contract is formed
3.1 Purchases are processed through Payhip.
3.2 Where the platform acts as reseller for your territory, the platform is the seller for the purposes of the payment transaction, accounts for any VAT due in that territory, and issues the tax receipt for that transaction. The platform acts as reseller for United Kingdom and European Union digital VAT.
3.3 In all other cases, we are the seller and the platform processes payment on our behalf.
3.4 VAT may be added to the price shown where it applies. Where it applies, it is shown to you before you confirm payment.
3.5 Your order is an offer to purchase. The contract is formed when the order confirmation is sent to you. We may decline an order before that point.
3.6 These terms, the Licence Terms, the Licence Summary, the Scope and Liability Statement and the product page govern your purchase and your use of the materials, and apply alongside the platform's own terms. Where the platform's terms differ from these in relation to your use of the materials, these terms apply. The Website Terms of Use governs our website and the free assets published on it, and does not govern your purchase or your use of the materials. The Privacy Notice sets out how we process personal data and forms no part of the order of precedence at section 3.7.
3.7 Order of precedence. Where the documents governing your purchase conflict, they take precedence in the following order. First, the Licence Terms, on permitted use of the materials. Second, the Scope and Liability Statement, on scope, responsibility and liability. Third, these terms, on all other matters. Fourth, the product page, which takes precedence over each of the above on the contents, format, extent and price of the product purchased, and which ranks below each of the above on every other matter. Fifth, the Licence Summary, which takes effect subject to each of the documents above and which creates no right or obligation that is not also set out in one of them.
3.8 Territory of sale. We offer the products for sale to buyers established in the United Kingdom, the Republic of Ireland, the member states of the European Union, the United States of America, Canada, Australia and New Zealand. We may add or remove a country from this list at any time. The list in force at the date of your purchase is the list published on https://www.practitionersystems.com at that date, and a change takes effect only for purchases made after it is published.
3.9 The territory of sale and the territory of the licence are separate. The licence granted to you under the Licence Terms applies worldwide, as set out in section 2.3 of those terms, and continues to apply if you move country or practise in more than one.
3.10 Place of supply and tax. The materials are digital content supplied electronically. The place of supply is determined by your country of establishment, which you state at checkout under section 5.5. Where the platform acts as reseller for that territory, section 3.2 applies and the platform issues your tax receipt. Where it does not, we are the seller, the price is stated exclusive of any sales tax, GST, use tax, withholding or import charge arising in your country, and any such amount is your responsibility to account for to your own tax authority. We are not registered for any such tax and issue no tax invoice in respect of it.
3.11 You are responsible for ensuring that your purchase and your use of the materials comply with the law of your own country. We make no representation that the materials are appropriate for, or compliant with, the regulatory requirements of any country outside the United Kingdom.
4. What you are purchasing
4.1 You are purchasing a licence to use the materials in your own practice, on the terms set out in the Licence Terms. You are not purchasing a qualification, a professional accreditation, or ownership of the materials themselves. Your use of the materials remains subject to the Licence Terms at all times.
4.2 The main characteristics of each product, including its contents, format and extent, are set out on the product page. The product page description forms part of your contract with us.
4.3 One purchase grants a licence to one named individual, for the product purchased. Practice, team, employee, associate and contractor use requires a separate licence for each person. Each additional person requires their own licence to the same product, purchased in their own name at the price in force. Every licence is issued to one named individual and carries its own Buyer Identifier. A licence does not transfer when a person leaves your practice, and the person who leaves may not continue to use the materials. Email us and we will issue an additional licence.
4.4 The Licence Terms, the Licence Summary, the Scope and Liability Statement and the Cancellation Information are available to read before you purchase. They are published on https://www.practitionersystems.com and linked from the product page and from the checkout.
4.5 Branding and presentation rules are set out in the Licence Summary and in section 6 of the Licence Terms.
4.6 Bundles and collections. A bundle is a single product, sold at a single price, and includes the Systems Bundle, the Complete Library and the Complete Client Tools Collection. One purchase of a bundle grants one licence to one named individual, covering every document supplied within it. Purchasing a bundle does not grant a separate or additional licence for any document within it, and does not permit the separate supply of any document within it to any other person. Where a bundle contains client materials, section 5A of the Licence Terms governs how those documents may be issued to your own clients.
4.7 Mini manual credit. Where the product page states that the price paid for the Practice Library mini manual is credited against a later purchase of the Practice Library core manuals or of the Complete Library, that credit is applied once only, against one later purchase, at the amount paid for the mini manual. The credit does not expire. It is not redeemable for cash, is not transferable to any other person, cannot be combined with another credit, and cannot be applied to any other product. Where the price of the later product changes, the credit is applied against the price in force at the point of that later purchase. Where we withdraw the later product from sale before the credit has been used, the credit lapses and no refund arises.
4.8 Client materials. Products in the Client Tools line are client materials. Purchasing them grants one named individual the right to print, copy and issue those documents to that individual's own clients, in any quantity, on the terms in section 5A of the Licence Terms. It grants no right to supply them to another practitioner, to publish them, or to issue them as a standalone download. Clinic and multi-practitioner licences are available on request.
5. Business buyers and consumers
5.1 The materials are supplied for use in a practice, trade or profession.
5.2 By completing a purchase, and by ticking the business purpose confirmation at checkout, you confirm that you are purchasing for the purposes of your practice, trade or profession, and that you are acting wholly or mainly for business purposes.
5.3 Where that confirmation is accurate, you are a business buyer. The Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and the Consumer Rights Act 2015 apply to consumers, and your purchase falls outside them.
5.4 Where a buyer is in fact a consumer, that buyer keeps every right the law gives to consumers. Section 10 sets out how those rights apply, and section 13 sets out the position for a consumer resident outside England and Wales.
5.5 At checkout you are asked to state your country of establishment, and your VAT or tax identification number where you hold one. This is collected to determine the correct place of supply and the correct tax treatment of your purchase, and is recorded against your purchase. We do not verify it, and you are responsible for stating it accurately. How this information is processed is set out in the Privacy Notice.
6. Payment
6.1 Prices are those shown to you at the point of purchase, in pounds sterling unless stated otherwise. Where the platform displays a price in another currency, the conversion and any charge applied by your card issuer or bank is a matter between you and them.
6.2 The price shown at checkout is the total price payable, including any mandatory fees. Where VAT applies under section 3.4, it is shown before you confirm payment. Section 3.10 applies to any tax arising outside a territory for which the platform acts as reseller.
6.3 Payment is due in full at the point of purchase.
6.4 We reserve the right to correct pricing errors, and to decline or cancel an order where a pricing or listing error has occurred, before access has been granted.
6.5 If you believe you have been charged in error, contact us as soon as possible and we will investigate and correct any genuine error.
7. Access
7.1 Access to the materials means being given the means to view, download or otherwise use the materials, for example through a link, a shared folder, a hosted portal or an emailed file, as specified at the point of purchase.
7.2 Access is granted once payment has cleared and the confirmations required under sections 5.2 and 10.2 have been given. We aim to grant access promptly, and in any event within a reasonable time of those conditions being met.
7.3 The practitioner materials supplied to you carry a Buyer Identifier. You must not remove, obscure or alter it. Its presence in any unauthorised copy identifies the source of that copy.
7.4 Access credentials are personal to you. You are responsible for keeping them secure and must not share them.
8. Delivery method and technical requirements
8.1 The materials are delivered digitally. The specific method, for example a download link, a shared drive, an emailed file or access to an online portal, will be confirmed to you at the point of purchase or shortly after. No physical materials are supplied unless expressly agreed.
8.2 Formats. The materials are supplied as PDF files, and as Microsoft Word (.docx) files where the product page states that editable versions are included. Client materials are supplied as PDF files for printing and are not supplied in editable format.
8.3 What you need. To use the materials you need an internet connection, an email address, a PDF reader, and, where editable versions are supplied, Microsoft Word or software capable of opening and editing .docx files without loss of formatting. Client materials are designed for printing at A4 on a standard office or home printer.
8.4 Known limitations. Formatting in editable files may display differently in software other than Microsoft Word. Printed output may vary with your printer, paper size and print settings. We do not warrant that the materials will work with any particular third party software, practice management system or client portal.
8.5 If you have an accessibility requirement, contact us and we will supply an alternative format where we reasonably can.
9. Updates
9.1 Each release of a product carries a version number, shown in the front matter of each document.
9.2 Included at no extra cost, for as long as we continue to supply the product: corrections, refinements and additional materials issued within a product you have purchased. There is no renewal fee and no time limit.
9.3 Charged separately:
-
Other products in the Practitioner Systems product line that you have not purchased.
-
Any release that we designate as a new edition of a product.
9.4 We decide, acting reasonably, whether a release is an update to an existing product or a new edition. Where we issue a new edition, the version you purchased remains yours to use under the Licence Terms, and you are under no obligation to purchase the new edition.
9.5 Where we supply an update, it will keep the materials in conformity with the contract.
9.6 Where we withdraw a product from sale, any materials already supplied to you remain yours to use under the Licence Terms.
10. Cancellation and refunds
10.1 Business purchases
The materials are digital content, made available to you as soon as access is granted. Once access has been granted, no refund will be given, except under sections 10.3, 10.4 or 10.5, under section 18.1, or where we agree otherwise in writing.
10.2 Consumer purchases and immediate access
Where a buyer is a consumer, digital content supplied at a distance carries a right to cancel within 14 days. That right is lost where the buyer gives express consent to the content being supplied immediately and acknowledges that the right to cancel is lost as a result.
Where a buyer is a consumer habitually resident in the Republic of Ireland or in a member state of the European Union, the equivalent right of withdrawal under Directive 2011/83/EU, as implemented in that buyer's own country, applies in the same way and is lost on the same basis.
Before access is granted, every buyer is asked at checkout to tick a box confirming the following:
'I want immediate access to this digital content. I understand and agree that once access begins I lose my right to cancel within 14 days.'
The box is not pre-ticked and must be actively selected. Access is granted only once that confirmation has been given. We confirm it back to you in your order confirmation email and retain a dated record of it.
Information about the right to cancel, and the model cancellation form, are provided to you before purchase in the Cancellation Information, published on https://www.practitionersystems.com.
Once access has been granted on that basis, the right to cancel no longer applies and no refund will be given, subject to sections 10.3, 10.4 and 10.5.
10.3 Statutory quality rights
Where a buyer is a consumer, the Consumer Rights Act 2015 requires digital content to be of satisfactory quality, fit for purpose and as described. Those rights are unaffected by anything in these terms, and are not excluded or reduced by the confirmation given at checkout under section 10.2.
Where a buyer is a consumer habitually resident in the Republic of Ireland or in a member state of the European Union, the conformity rights under Directive (EU) 2019/770, as implemented in that buyer's own country, apply in the same way and are unaffected by anything in these terms.
Where the materials fall short of that standard, a consumer may be entitled to a repair, a replacement or a reduction in price. Contact us and we will address it.
10.4 Payment errors
If you believe you have been charged in error, for example a duplicate payment, contact us as soon as possible and we will investigate and correct any genuine error.
10.5 Defective or misdescribed materials
Where the materials are materially defective, corrupted, incomplete or not as described on the product page, contact us. We will supply a corrected version, and where that is not reasonably possible, refund the price paid. This applies to business buyers and consumers alike.
11. Liability
11.1 Nothing in these terms, the Licence Terms, the Licence Summary or the Scope and Liability Statement limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be limited or excluded.
11.2 The materials are operational infrastructure and coaching methodology for use in a practice. They do not constitute medical, clinical, nutritional, legal, tax or insurance advice, and they do not replace your own professional judgement. You remain responsible for your own clinical and professional decisions, for your own regulatory compliance, and for the advice you give to your own clients. Where the materials contain clinical, safety, referral and scope of practice wording, you apply it under your own professional judgement and must keep it intact, as set out in the Licence Terms. Where you issue a client material to a client, responsibility for that decision and for the client relationship sits with you, as set out in the Scope and Liability Statement.
11.3 Subject to 11.1, our total liability to a business buyer in connection with a purchase, whether in contract, tort including negligence, breach of statutory duty or otherwise, is limited to the amount paid for the product giving rise to the claim.
11.4 Subject to 11.1, we are not liable to a business buyer for loss of profit, revenue, business, contracts, clients, goodwill or anticipated savings, or for any indirect or consequential loss.
11.5 Subject to 11.1, our liability to a consumer is limited to loss that was reasonably foreseeable at the time of purchase.
11.6 The full position on scope and liability, including what we do and do not supply, is set out in the Scope and Liability Statement, which is available to read before purchase and forms part of your agreement with us alongside the Licence Terms and the Licence Summary.
12. Changes to these terms
We may update these terms from time to time. The version in force at the point of your purchase applies to that purchase. Changes do not reduce the rights of access already granted to you for a product you have purchased.
13. Governing law and jurisdiction
13.1 These terms are governed by the law of England and Wales.
13.2 The courts of England and Wales have exclusive jurisdiction over any dispute arising from them, subject to 13.3 and 13.4.
13.3 Where you are a consumer resident outside England and Wales, you keep the protection given to you by provisions of the law of your own country that cannot be derogated from by agreement, and you may bring proceedings in the courts of your country of residence.
13.4 Where you are a consumer habitually resident in the Republic of Ireland or in a member state of the European Union, proceedings may be brought against you only in the courts of the country in which you are resident, and you keep your right of withdrawal under Directive 2011/83/EU and your conformity rights under Directive (EU) 2019/770, each as implemented in that country. Nothing in 13.1 affects those rights.
14. Eligibility and your responsibilities
14.1 By purchasing, you confirm that you hold any professional registration, qualification and insurance required for the work in which you intend to use the materials, including professional indemnity insurance appropriate to your practice.
14.2 We do not verify your registration, qualifications, insurance or regulatory status, and we make no representation that we have done so.
14.3 We may decline any order, or refuse to supply any buyer, at our discretion.
15. Complaints
15.1 If you are unhappy with any part of your purchase, email us at hello@practitionersystems.com. We will acknowledge your complaint within 5 working days and give a substantive response within 20 working days. If you are not satisfied with that response, tell us within 20 working days and we will review it and give you a final response within 20 working days of your request. Where we need longer than any of these periods, we will tell you before it ends, give the reason and give you a date. A working day is a day other than a Saturday, a Sunday or a public holiday in England and Wales. The same timescales are published at section 10 of the Cancellation Information.
15.2 We do not subscribe to an alternative dispute resolution scheme. The European Commission online dispute resolution platform closed on 20 July 2025 and no replacement platform operates. Nothing in this section affects your right to take a dispute to court, or the rights of a consumer under section 13.
16. Data protection
16.1 We process personal data in connection with your purchase in accordance with our Privacy Notice, published on https://www.practitionersystems.com.
16.2 Purchase data is processed to perform our contract with you, to comply with our legal obligations and for our legitimate interests, as set out in the Privacy Notice. We do not process personal data relating to your clients. You are the sole controller of that data, including any information a client records in a copy of a client material you have issued.
17. Suspension and termination
17.1 We may suspend or withdraw your access to the materials where the Licence Terms are materially breached, as set out in section 10 of the Licence Terms.
17.2 Suspension or termination under this section does not entitle you to a refund.
18. General
18.1 Force majeure. We are not liable for any delay or failure to perform caused by an event outside our reasonable control. Where such an event prevents us from granting access to a product you have paid for, and continues for more than thirty days, either party may end the contract for that product and we will refund the price paid for it. Where access has already been granted, this section gives rise to no refund.
18.2 Entire agreement. These terms, the Licence Terms, the Licence Summary, the Scope and Liability Statement, the Cancellation Information and the product page form the entire agreement between us. Nothing in this clause limits liability for fraudulent misrepresentation.
18.3 Severance. If any provision is found to be unlawful or unenforceable, the remaining provisions continue in force.
18.4 No waiver. A delay in enforcing any right is not a waiver of it.
18.5 Assignment. You may not transfer your rights or obligations under these terms. We may transfer ours on a transfer of our business, and your rights will not be reduced as a result.
18.6 Third party rights. No person other than you and us has any right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.
18.7 Notices. Notices are validly given by email to the address on your purchase record, or to hello@practitionersystems.com.
18.8 No partnership or agency. Nothing in these terms creates a partnership, joint venture, agency or employment relationship between us.

'Your client' means an individual who has engaged you directly for your professional services, whether one to one, in a group or at a workshop.
'Buyer Identifier' means the unique reference we add to the files supplied to you following your purchase, which ties those files to your purchase and to you as the named individual on the purchase record.

2. Who this licence covers
2.1 This licence is granted to one named individual only, and separately for each product purchased. It is personal to you and cannot be transferred, sold, gifted, sub-licensed or reassigned to another person, business or entity, whether or not payment changes hands. Where the product purchased is a bundle or a collection, one licence is granted covering every document supplied within it.
2.2 By using the materials, you confirm that you hold, and will maintain for as long as you use them, professional indemnity insurance appropriate to your practice, and any professional registration or accreditation required for the work in which you use the materials. This is a condition of the licence.
2.3 This licence applies worldwide, unless the product page for a specific product states otherwise. It continues to apply worldwide if you move country or practise in more than one.
2.4 The countries we sell into are set out in the purchase terms. Where we sell is a separate matter from the territory of this licence and places no limit on it.
3. How long this licence lasts
This licence begins on the date access to the materials is granted to you and continues indefinitely, for as long as you comply with these terms. The price of the product is payable in full at the point of purchase, under section 6.3 of the purchase terms. There is no renewal fee, no subscription and no recurring charge.
This licence continues whether or not the materials remain available for sale. Where we withdraw a product, or stop supplying it, your licence to use the materials already supplied to you continues.
Section 10 sets out when this licence ends.
4. What this licence grants you
Subject to these terms and to payment of any applicable fees, you may:
-
Use the materials in your own practice, with your own clients, without limit on the number of clients or sessions.
-
Adapt practitioner materials for your own client work, for example working from a blueprint or adjusting a worksheet to fit an individual client. This permission stops short of the clinical, safety, referral and scope of practice wording addressed in section 6.
-
Print, save and store the materials for your own working use.
The document titles, headings and structure of practitioner materials may not be altered.
What you may do with each category of material is set out separately. Section 5 governs practitioner materials. Section 5A governs client materials. Section 6 applies to both categories, subject to section 5A.
5. Practitioner materials, and supply to clients
This section governs practitioner materials. No document in the practitioner materials category is supplied to a client, in original or adapted form, in any circumstances. Client materials are governed by section 5A.
The materials support you in building your own client-facing documents. Those documents are your own work. You are responsible for what they contain, for their accuracy, and for your clients' use of them.
Where you draw on clinical, safety, referral or scope of practice wording appearing in the materials, reproduce it accurately and apply it under your own professional judgement. Reproducing that wording in a document of your own is permitted under this licence. Reproducing any other part of the practitioner materials verbatim in a document you issue to a client is not, except where the document is marked as a drafting source.
Drafting sources. Where a document is marked on its face as a drafting source, it supplies wording for you to write your own document from and to issue on your own letterhead, under your own practice name. The document you write is your own work. The drafting source itself stays in your practice files, is never supplied to a client, and remains subject to these terms in the same way as every other document supplied to you.
5A. Client materials
5A.1 What client materials are. Client materials are documents supplied to you for you to issue to your own clients. Each is marked on its face as client-facing material. Where this section and section 5 differ in relation to a document marked as client-facing material, this section applies.
5A.2 What this licence permits. You may:
-
Print client materials, and copy them, in any quantity you need.
-
Give a printed copy to any of your own clients, with no limit on the number of clients, the number of copies or the number of sessions.
-
Supply a copy electronically to an individual named client of yours, by a direct and individual route, being email addressed to that client or an area of a portal accessible only to that client.
-
Include client materials within a programme, package or service that you deliver to your own clients, whether delivered in person, online or by post.
-
Refer to a client material by its supplied title in your own client communications and programme materials.
-
Continue to do all of the above for as long as your licence runs.
5A.3 The condition every copy is issued in. Every copy you print, supply or include is complete and unaltered. The following stay intact in every copy: the document title, the page structure and order, the clinical, safety, referral and scope of practice wording, the disclaimers, the copyright notice, the front matter, the back matter and the version reference. No part of a client material is issued in isolation.
5A.4 What this licence does not permit. You may not:
-
Resell client materials, in original or adapted form, at any price.
-
Supply client materials to another practitioner, to a colleague, associate, employee or contractor, or to anyone outside your own client relationships.
-
Publish client materials, post them, or make them available on a website, a social channel, an app, a marketplace, a shared drive or any other place open to people who are not your own clients.
-
Supply client materials as a standalone download, a lead magnet, a newsletter incentive, a sign-up incentive, a sample, a giveaway or a free public resource.
-
Supply client materials in bulk, or in any form intended for onward distribution.
-
Apply your own branding, logo, business name or visual identity to client materials, or rename or re-present them under your own product, programme, system or method name.
-
Extract, copy, reproduce, reorder or reuse any part of client materials in a document of your own.
-
Present the content of client materials as your own work, or hold yourself out as its author.
-
Put a copyright notice in your own name on client materials.
-
Use client materials to create, deliver or sell a competing product, system, toolkit, template set or programme for practitioners.
5A.5 Client materials inside your own programme. Where you include client materials within your own programme, each document is issued as a discrete document, intact, with its front matter and back matter in place. Your programme is your own work and carries your own branding. The client materials within it remain ours and carry ours.
5A.6 The position of your client. A client who is given a copy may use that copy for their own personal use. Your client acquires no licence, no right to copy the document for anyone else and no right to publish it. You may tell your client so.
5A.7 Your professional judgement. You are responsible for deciding whether a client material is appropriate for a given client, for how it is used, and for every clinical and professional judgement made alongside it. We have no relationship with your clients and carry no responsibility for them, as set out in the Scope and Liability Statement.
5A.8 Client information. We receive, process and store no client information. Once you issue a copy of a client material to a client, you are the sole data controller for that completed copy and for any information recorded in it, and you are responsible for the lawful basis, security, storage, retention and handling of access requests relating to it.
5A.9 Completed copies and ownership. Information that you or your client writes into a copy belongs to your client. Our ownership of the document itself is unaffected. Section 9 applies.
5A.10 More than one practitioner. This licence is granted to you as one named individual, and covers client materials you issue to your own clients. Where a second practitioner in your clinic or team will issue client materials, that practitioner requires their own licence. Clinic and multi-practitioner licences are available on request. Email us at hello@practitionersystems.com and we will quote for one.
6. What this licence does not grant
This section applies to practitioner materials and to client materials alike. Where a restriction below is expressed to apply to practitioner materials only, the equivalent position for client materials is set out at section 5A.4. Nothing in this section restricts what section 5A.2 permits.
This licence does not permit you to:
-
Resell the materials, in original or adapted form, to any other practitioner, business or third party.
-
Redistribute, share, publish or otherwise make the materials available to anyone outside your own practice, other than as section 5A.2 permits for client materials.
-
Publish the materials, or any part of them, as a free or public resource, including as a lead magnet, download, newsletter incentive, social media post or sample. This applies to practitioner materials and to client materials alike, and applies whether or not a charge is made.
-
Supply the materials in bulk, or in any form intended for onward distribution. Copies printed or supplied to your own named clients under section 5A.2 are not bulk supply.
-
Share access to the materials with colleagues, associates, employees or contractors within a practice or team. Each additional person requires their own licence to the same product, purchased in their own name at the price in force. Every licence is issued to one named individual and carries its own Buyer Identifier. A licence does not transfer when a person leaves your practice, and the person who leaves may not continue to use the materials. Email us at hello@practitionersystems.com and we will issue an additional licence.
-
Share your login, access link or download credentials with any other person.
-
Use the materials to create, deliver or sell a competing product, system, toolkit, template set or programme for practitioners.
-
Rename or re-present the materials, in original or adapted form, under your own product, programme, system or method name.
-
Apply your own branding, logo, business name or visual identity to practitioner materials. Practitioner materials carry no practitioner branding.
-
Apply your own branding, logo, business name or visual identity to client materials, or issue a copy of client materials with any part of the front matter, back matter, copyright notice or version reference removed, obscured or altered. Client materials carry no practitioner branding.
-
Reproduce the materials, or any part of them, on merchandise, whether branded with your own name or otherwise, and whether sold or given away.
-
Train, teach or certify any other person to deliver or use the materials.
-
Use the Practitioner Systems name, or the name of any product in the product line, in your marketing, website or client communications without our prior written permission. Referring to a client material by its supplied title under section 5A.2 is permitted.
-
State or imply that you are certified, accredited, endorsed, approved or qualified by Practitioner Systems.
-
Alter, remove or replace any clinical, safety, referral or scope of practice wording appearing in the materials.
-
Alter the document titles, headings or structure of practitioner materials.
-
Alter the document titles, headings or structure of client materials.
-
Remove, obscure or alter any copyright notice, trade mark, attribution, front matter or back matter appearing in the materials, or any disclaimer appearing in the materials.
-
Remove, obscure or alter any version reference appearing in the materials, or any Buyer Identifier, as set out in section 8.
-
Put a copyright notice in your own name on the materials, in original or adapted form. What you and your client write into a document is yours. Ownership of the document itself stays with us.
7. Versions
7.1 What your licence covers. Your licence covers the version of each product supplied to you, together with any updates supplied to you under section 9 of the purchase terms.
7.2 Clients already in delivery. Where we issue a new version, you may continue delivering a prior version to any client who is already part-way through your service at the date the new version is issued. Clients you start after that date should be delivered on the current version.
You may keep your own copies of prior versions for that purpose. We are under no obligation to maintain an archive of superseded versions or to supply prior versions on request.
7.3 Required changes. Where we issue an update for legal, safety or scope of practice reasons, we will tell you and identify it as a required change. You must adopt it immediately, including for any client already in delivery, and stop using the superseded version. Where the required change affects a client material, stop issuing copies of the superseded version from the date the notice is given.
8. Buyer Identifier
The practitioner materials supplied to you carry a Buyer Identifier, a unique reference tied to your purchase.
You must not remove, obscure or alter it, whether the file is used in original or adapted form.
The presence of a Buyer Identifier in an unauthorised copy identifies the source of that copy.
9. Intellectual property
All intellectual property in the materials, including copyright, trade marks and any other proprietary rights, remains our property at all times, including in any copy of the materials you have adapted for your own working use. This licence grants you a right to use the materials as set out above. It does not transfer ownership of the materials, or any rights in them, to you.
Nothing in this licence affects your ownership of information you or your client create and record in the materials, such as a client's own answers, notes or personal information. The client-facing documents you create yourself are your own work and sit outside the definition of materials for the purposes of this licence.
Copies of client materials that you print, supply or include under section 5A remain our property. Printing or issuing a copy transfers no ownership, and grants no right to the client beyond personal use of the copy given to them.
Practitioner Systems is an unregistered trade mark.
10. Termination
We may withdraw this licence, with immediate effect, if these terms are breached, including but not limited to resale, redistribution, unauthorised sharing across a practice or team, supplying practitioner materials to a client or to anyone outside your own practice, supplying client materials in breach of section 5A.4, renaming or re-presenting the materials under your own product name, altering clinical, safety, referral or scope of practice wording, or removal or alteration of the Buyer Identifier.
On termination, you must stop using the materials and delete or destroy any copies held, whether in original or adapted form, and stop printing, supplying or including client materials.
Where you have clients part-way through your service at the date of termination, contact us at hello@practitionersystems.com. We may permit you to complete that work using the materials, on terms we set at the time. That permission is at our discretion and is not automatic.
Termination does not entitle you to any refund.
11. Changes to this licence
We may update these terms from time to time. The version in force at the point of your purchase applies to you, unless you are notified of a change that affects your existing use.
12. Governing law and jurisdiction
12.1 These terms are governed by the law of England and Wales.
12.2 The courts of England and Wales have exclusive jurisdiction over any dispute arising out of or in connection with these terms, subject to 12.3.
12.3 These terms are made with you as a practitioner acting for purposes related to your trade, business or profession. Where you are in fact a consumer habitually resident in the Republic of Ireland or in a member state of the European Union, nothing in 12.1 removes the protection given to you by provisions of the law of your own country that cannot be derogated from by agreement, you keep your right of withdrawal under Directive 2011/83/EU as implemented in that country and your conformity rights under Directive (EU) 2019/770, proceedings may be brought against you only in the courts of the country in which you are resident, and you may bring proceedings against us in those courts or in the courts of England and Wales.

Licence Summary
Version 1.0. Effective 20 September 2026.
Practitioner Systems is a trading name of Sarah Shakespeare, a sole trader established in the United Kingdom.
Address for correspondence and service of documents: Practitioner Systems, Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA
Contact email: hello@practitionersystems.com
A plain summary of your licence. In this summary, 'we', 'us' and 'our' mean Practitioner Systems.
Status
This summary forms part of your agreement with us. It is a plain summary and it creates no right or obligation that is not also set out in the Licence Terms. Where it differs from the Licence Terms, the Licence Terms apply. The full Licence Terms are published on https://www.practitionersystems.com.
What we supply
We supply two categories of material. Each document says which it is on its face.
Practitioner materials are for your own use in running your practice. Manuals, playbooks, delivery guides, blueprint builders, protocols, worksheets, templates and blueprints, and anything marked for practitioner use only. They stay in your practice files. No practitioner material is given to a client, in original or adapted form. The client-facing documents you write yourself are your own work.
Client materials are for you to give to your clients. Each one is marked on its face as client-facing material. The Client Tools product line is client materials. You print them, copy them and hand them out, on the terms set out below.
Where a document states no category, treat it as practitioner materials.
Where a document is marked on its face as a drafting source, it supplies wording for you to write your own document from and to issue on your own letterhead. The document you write is your own work. The drafting source itself stays in your practice files.
What you have bought
A licence to use the Practitioner Systems materials in your own practice, granted to you as one named individual, and granted separately for each product you purchase. You have not bought ownership of the materials, a qualification, a certification or an accreditation.
Copyright stays with us at all times, including in any copy you have adapted for your own working use, and in every copy of a client material you print or issue. What you and your client write into a document is yours. Ownership of the document itself stays with us.
The licence applies worldwide, unless the product page for a specific product says otherwise. The countries we sell into are listed in the Purchase Terms and Conditions. Where we sell places no limit on where you may use your licence.
What you can do
-
Use the materials with your own clients, with no limit on client numbers or sessions.
-
Adapt practitioner materials for individual client work, keeping the clinical, safety, referral and scope of practice wording intact.
-
Print, save and store them for your own working use.
-
Receive corrections, refinements and additional materials within the product you bought, at no extra cost, for as long as we continue to supply the product.
Adapted practitioner materials stay as practitioner working files and are never issued to a client. Client materials are issued as they are, and the next section sets out how.
What you can do with client materials
-
Print them and copy them, in any quantity you need.
-
Give a printed copy to any of your own clients. No limit on clients, copies or sessions.
-
Email a copy to an individual client of yours, or put it in a portal area only that client can see.
-
Include them inside a programme, package or service you deliver to your own clients.
-
Refer to them by their supplied titles in your own client communications.
-
Keep doing all of this for as long as your licence runs.
Issue every copy complete and unaltered. The title, the page structure and order, the clinical and safety wording, the disclaimers, the copyright notice, the front matter, the back matter and the version reference all stay in place. No part is extracted, reordered or issued on its own.
A client who is given a copy may use it for themselves. They get no licence, no right to copy it for anyone else and no right to publish it. Tell them so.
What your client writes into their copy is your client's. You are the sole data controller for that information. We receive and hold no client information at any point. Ownership of the document itself stays with us.
You decide whether a client material suits a given client, and every clinical and professional judgement made alongside it is yours.
Your licence covers you as one named individual. A second practitioner in your clinic or team issuing client materials needs their own licence. Clinic and multi-practitioner licences are available on request. Email hello@practitionersystems.com and we will quote for one.
What you cannot do with client materials
-
Resell them, at any price.
-
Give them to another practitioner, colleague, associate, employee or contractor.
-
Publish them, post them, or put them anywhere people who are not your clients can reach them, including a website, a social channel, an app, a marketplace or a shared drive.
-
Offer them as a standalone download, a lead magnet, a sign-up incentive, a sample or a giveaway.
-
Supply them in bulk, or in any form intended to be passed on.
-
Rebrand them, or rename them under your own product, programme, system or method name.
-
Take any part of them into a document of your own.
-
Present the content as your own work.
-
Put a copyright notice in your own name on them.
Branding
Practitioner materials carry no practitioner branding. Client materials carry no practitioner branding.
Keep the materials under their own titles. Renaming or re-presenting them under your own product, programme, system or method name is outside the licence.
Your own programme carries your own branding. A client material included inside it keeps ours.
Your Buyer Identifier
The practitioner materials supplied to you carry a Buyer Identifier, a unique reference tied to your purchase. Keep it intact in every file. Its presence in an unauthorised copy identifies the source of that copy.
What you cannot do
-
Resell, share, publish or redistribute the materials, in original or adapted form.
-
Publish the materials as a free or public resource, including as a lead magnet, download, newsletter incentive or social media post.
-
Supply the materials in bulk, or in any form intended for onward distribution. Copies you print or send to your own named clients under the client materials section are not bulk supply.
-
Give any practitioner material to a client, or to anyone outside your own practice, in any circumstances, in original or adapted form. Client materials are dealt with above.
-
Share your login, access link or download credentials.
-
Share the materials with colleagues, associates, employees or contractors. Each additional person needs their own licence to the same product, in their own name, at the price in force. A licence does not transfer when someone leaves your practice. Email us and we will issue an additional licence.
-
Transfer, sell, gift or sub-licence your licence to anyone else.
-
Remove, obscure or alter any version reference, or the Buyer Identifier carried in the practitioner materials.
-
Rename or re-present the materials under your own product, programme, system or method name.
-
Reproduce the materials, or any part of them, on merchandise, whether branded with your own name or otherwise, and whether sold or given away.
-
Use the materials to create, deliver or sell a competing product, system, toolkit, template set or programme for practitioners.
-
Train, teach or certify anyone else to deliver or use the materials.
-
Use the Practitioner Systems name, or any product name, in your marketing, website or client communications without our written permission. Ask us. Referring to a client material by its supplied title is permitted.
-
State or imply that you are certified, accredited, endorsed, approved or qualified by Practitioner Systems.
-
Put a copyright notice in your own name on any material.
-
Alter, remove or replace any clinical, safety, referral or scope of practice wording.
-
Alter the document titles, headings or structure of the materials.
-
Remove, obscure or alter any copyright notice, trade mark, attribution, front matter, back matter or disclaimer.
What sits with you
You are responsible for your own scope of practice, professional registration, insurance and regulatory compliance, and for every professional judgement you make with a client. You confirm you hold professional indemnity insurance covering the work you deliver. Full detail is in the Scope and Liability Statement.
How long it lasts
From the date you are given access, indefinitely, for as long as you keep to the terms and any fees due are paid.
Your licence continues whether or not the product stays on sale. If we withdraw it, the materials already supplied to you stay yours to use.
Versions
Where we issue a new version, you may continue delivering a prior version to any client already part-way through. Start new clients on the current version.
Where we identify an update as a required change, for legal, safety or scope of practice reasons, adopt it immediately, including for clients already in delivery, and stop using the superseded version. Where it affects a client material, stop issuing copies of the superseded version from the date we tell you.
We do not maintain an archive of superseded versions. Keep your own copies of any version you are still delivering.
What ends it
We may withdraw your licence with immediate effect if the terms are breached, including resale, redistribution, unauthorised sharing across a practice or team, supplying practitioner materials to a client or to anyone outside your own practice, supplying client materials in a way the licence does not permit, renaming the materials, removal or alteration of the Buyer Identifier, or altering clinical or safety wording.
If that happens, stop using the materials, stop issuing client materials, and delete or destroy every copy you hold, in original or adapted form. Contact us if you have clients part-way through and we may permit you to finish that work on terms we set. That is at our discretion. No refund arises on termination.

1. Status of this statement
This statement forms part of your agreement with us, alongside the Purchase Terms and Conditions, the Licence Terms and the Licence Summary. In this statement, 'Practitioner Systems', 'we', 'us' and 'our' mean the sole trader named above. Other defined terms used here carry the same meaning as in those documents.
Free content published on our website is governed by the Website Terms of Use. The Website Terms of Use does not govern your purchase or your use of the materials.
Read this before you use the materials with a client.
2. What we supply
Practitioner Systems provides operational infrastructure and coaching methodology: templates, guides, frameworks and protocols that support how you structure your practice and your work with clients.
The materials are operational material for use in a practice. Where a product includes clinical, safety, referral or scope of practice wording, you apply that wording under your own professional judgement. Using it does not grant you, or imply that you hold, any clinical, medical, nutritional therapy or other regulated status.
3. The limits of what we supply
The materials are supplied as general material, prepared for practitioners generally. They are prepared without reference to your particular practice, your particular clients or your particular circumstances.
We do not supply:
-
A qualification, a certification, an accreditation or training in a regulated profession.
-
Clinical, medical, nutritional or health advice, for you or for your clients. Where the materials contain clinical, safety, referral and scope of practice wording, you apply it under your own professional judgement and must keep it intact, as set out in the Licence Terms.
-
Legal, regulatory, insurance, tax or accounting advice.
-
Confirmation that any template, wording or process meets the requirements of your professional body, your insurer, your regulator or the law as it applies to you.
You are responsible for the content, accuracy and suitability of every client-facing document you create, and for having it reviewed where that is appropriate.
We do not assess your practice, your scope, your qualifications or your compliance, and nothing we supply should be read as us having done so.
4. No advisory relationship
Purchasing or using the materials does not create any advisory, consultancy, professional or practitioner-client relationship between you and us.
We are not involved in your practice, your sessions, your clinical or professional decisions, or your relationship with your clients. We hold no information about your individual clients, have no relationship with them, and have no role in your handling of their data. You are the sole controller of your client data.
Any general correspondence with us about the materials, including answers to questions about how a template is intended to be used, is provided for information. It does not create an advisory relationship and should not be relied on as professional advice about your own situation.
5. Results
We give no guarantee of any particular result from using the materials.
We make no representation or promise about the income, client numbers, enquiries, conversion rates, time savings, efficiency, growth or professional outcomes you may achieve. Any figures, examples or illustrations in the materials or in our marketing are illustrative.
What you achieve depends on your own practice, market, pricing, effort, judgement and circumstances, all of which sit outside our control.
6. What stays with you
You remain fully responsible, at all times, for:
-
Your own scope of practice, and working within it.
-
Your professional registration, accreditation and continuing professional development, and for meeting any rules that apply to you as a result.
-
Your own professional indemnity and public liability insurance, and for confirming that your cover extends to the work you deliver. Check the terms of your policy on this point specifically.
-
Your compliance with the law as it applies to your practice, including data protection, consumer and advertising law.
-
Every clinical or professional judgement you make with a client, including whether and when to refer a client to a GP or other appropriate professional.
-
Checking, completing and adapting any template before you use it, and taking your own advice where that is appropriate.
-
Keeping the clinical, safety, referral and scope of practice wording in any material intact, as set out in the Licence Terms.
-
The client-facing documents you create and supply to your clients, and your clients' use of them.
We do not verify your registration, qualifications, insurance or regulatory status, and we make no representation that we have done so.
7. Our position on liability
We supply materials for you to use within your own professional judgement. We are not involved in your sessions, your clinical decisions, or your relationship with your clients, and we hold no information about your individual clients.
Because of this, we carry no liability for client outcomes arising from your use of the materials, including outcomes arising from how a template, guide or protocol was applied, adapted or interpreted in a specific case.
8. Limits on our liability
The materials are supplied for use in a practice, trade or profession. The limits in this section apply to that use.
8.1 What we do not accept liability for
We are not liable to you for:
-
Loss of profit, revenue, income, business, contracts, clients or anticipated savings.
-
Loss of or damage to goodwill or reputation.
-
Loss of or damage to data.
-
Any indirect or consequential loss.
-
Any claim brought against you by your client or by any other third party.
-
Any loss arising from your own use, adaptation, interpretation or application of the materials.
-
Any loss arising from the content, accuracy or suitability of any client-facing document you create.
8.2 Financial limit
Where we are liable to you for any other loss, our total liability, whether in contract, negligence or otherwise, is limited to the amount paid for the product giving rise to the claim.
8.3 What we do not exclude
Nothing in this statement, the Purchase Terms and Conditions or the Licence Terms excludes or limits our liability for:
-
Death or personal injury caused by our negligence.
-
Fraud or fraudulent misrepresentation.
-
Any other liability that cannot lawfully be excluded or limited.
8.4 Consumer rights
Where a buyer is in fact a consumer, their statutory rights are unaffected by this section, as set out in section 10.3 of the Purchase Terms and Conditions.
9. Claims brought by your clients
You are responsible for the service you deliver to your clients.
If a claim is brought against us by your client, or by any other third party, arising from your delivery of your services, your professional judgement, your use or adaptation of the materials, or your breach of the Licence Terms, you agree to cover our reasonable costs and any sums we are required to pay in connection with that claim.
This applies on the following conditions. We will tell you about the claim promptly. We will not admit liability or settle the claim without your agreement, and you will not withhold that agreement unreasonably. We will take reasonable steps to keep the cost of the claim down. You may take conduct of the claim at your own cost, and we will give you reasonable assistance if you do.
This section does not apply to any claim arising from something we are responsible for under section 8.3, or to any part of a claim caused by our own breach of contract or our own negligence.
10. Governing law
This statement is governed by the law of England and Wales.
This statement is written to be read once and relied on. If anything in it is unclear, ask us at hello@practitionersystems.com before you use the materials with a client.

Practitioner Systems products are sold to individual qualified wellness practitioners for use in a practice, trade or profession. At checkout, every buyer confirms that they are purchasing for the purposes of their trade, business, craft or profession.
The right to cancel described below is a consumer right. It is given by the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 to a consumer, meaning an individual acting wholly or mainly outside their trade, business, craft or profession.
Where a buyer is a business buyer, the 14 day right to cancel does not apply to that purchase. Sections 9 and 10 below apply to every buyer.
Where a buyer is in fact a consumer, that buyer keeps every right the law gives to consumers, and this page sets out how those rights work. The full terms of your purchase are set out in the Purchase Terms and Conditions, published on https://www.practitionersystems.com.
2. The 14 day right to cancel
Where a buyer is a consumer, a contract for digital content bought at a distance carries a right to cancel within 14 days, without giving any reason.
The materials are digital content supplied in a non-tangible form, by download or access link. For digital content of that kind, the 14 day period runs from the day after the day the contract is entered into. The contract is entered into when the order confirmation is sent to the buyer.
3. How the right to cancel is lost
Before access to the materials is granted, every buyer is asked at checkout to tick a box confirming the following:
'I want immediate access to this digital content. I understand and agree that once access begins I lose my right to cancel within 14 days.'
The box is not pre-ticked and must be actively selected. Access is granted only once that confirmation has been given.
Giving that confirmation has this effect. The buyer gives express consent to the digital content being supplied immediately, before the end of the 14 day period, and acknowledges that the right to cancel is lost as a result. Once access has been granted on that basis, the right to cancel no longer applies to that purchase and no refund arises under this page. Sections 8 and 9 below continue to apply.
The confirmation is repeated back to the buyer in the order confirmation email, and a dated record of it is retained.
4. What you are given before you confirm
This page is linked from the final checkout screen, above the payment button and above the immediate access box described in section 3. The link is visible before that box is ticked and before any payment is confirmed.
A durable copy of this information, together with confirmation of the immediate access box you ticked, is sent to you in your order confirmation email. Keep that email for your records.
5. How to cancel where the right still applies
Where the right to cancel still applies, tell us your decision to cancel by a clear statement. Any clear statement is sufficient. You may write in your own words.
By email: hello@practitionersystems.com
By post: Practitioner Systems, Lytchett House, 13 Freeland Park, Wareham Road, Poole, Dorset, BH16 6FA
The model cancellation form in section 11 is provided for convenience. Using it is optional.
6. Deadline for sending a cancellation
To meet the deadline, send your cancellation before the 14 day period ends. A cancellation sent on the final day of that period is in time.
7. Refunds
Where you cancel and the right to cancel applies, we will refund all payments received from you.
We will make the refund within 14 days of the day on which we are informed of your decision to cancel.
We will use the same means of payment that you used for the original transaction, unless you have expressly agreed otherwise.
You will not be charged any fee as a result of the refund.
8. Statutory quality rights
Where a buyer is a consumer, the Consumer Rights Act 2015 requires digital content to be of satisfactory quality, fit for purpose and as described. Those rights survive the immediate access confirmation given at checkout and are unaffected by it.
Where the materials fall short of that standard, a consumer may be entitled to a repair, a replacement or a reduction in price under that Act. Contact us at hello@practitionersystems.com and we will address it. This is set out in section 10.3 of the Purchase Terms and Conditions.
9. Defective or misdescribed materials
Where the materials are materially defective, corrupted, incomplete or not as described on the product page, contact us at hello@practitionersystems.com. We will supply a corrected version, and where that is not reasonably possible, refund the price paid.
This applies to business buyers and consumers alike. It is set out in section 10.5 of the Purchase Terms and Conditions.
10. Complaints
If you are unhappy with any part of your purchase, email us at hello@practitionersystems.com.
This matches section 15 of the Purchase Terms and Conditions.
11. Model cancellation form
Complete and return this form only if you wish to cancel the contract. Copy it, print it or complete it on screen. Send it by email or by post to the addresses given in section 5.

1. Who we are
Controller. Sarah Shakespeare, trading as Practitioner Systems, is the data controller for the personal data described in this notice. In this notice, 'Practitioner Systems', 'we', 'us' and 'our' mean the sole trader named above. Contact us at hello@practitionersystems.com or at the postal address above.
Which data protection law applies. We are established in the United Kingdom, and the UK GDPR and the Data Protection Act 2018 apply to our processing. We also offer our products to practitioners in the Republic of Ireland and in member states of the European Union. To the extent that we process the personal data of individuals in the European Union in connection with that offer, the EU General Data Protection Regulation (Regulation (EU) 2016/679) applies to that processing under Article 3(2), and this notice sets out the additional rights that follow.
Our position on an EU representative. We have not appointed a representative in the European Union. Our processing of the personal data of individuals in the European Union is occasional, involves no special category data on any scale, and is unlikely to result in a risk to anyone's rights and freedoms, so the exemption at Article 27(2)(a) of the EU GDPR applies. Individuals in the European Union may contact us directly at hello@practitionersystems.com.
We have not appointed a data protection officer. One is not required for the processing described in this notice.
2. What this notice covers
This notice explains what personal data we hold about you, why we hold it, the lawful basis for holding it, who we share it with, how long we keep it and the rights you have.
It applies to your use of our website, your contact with us, your subscription to our mailing list, your download of any free asset, and your purchase of any Practitioner Systems product.
Where you buy from us, section 16 of the Purchase Terms and Conditions also applies. This notice is a transparency notice and forms no part of the order of precedence at section 3.7 of the Purchase Terms and Conditions. Use of our website, and of any free asset published on it, is governed by the Website Terms of Use. Both documents are published on https://www.practitionersystems.com.
3. Information about your own clients
We hold no information about a practitioner's own clients. We do not receive it, we do not ask for it, and we have no access to it. Where you use our materials with your clients, including where you print or issue a client-facing document we have supplied, you are the sole controller of that data and we have no role in it.
If you send us client information in error, we will delete it and ask you to confirm that you will not send it again.
4. The personal data we hold
4.1 Enquiry and contact data
What we hold: your name, your email address, any other detail you include in your message, any complaint you make, and our correspondence with you.
Why we hold it: to answer your enquiry, to handle any complaint, to keep a record of what was asked and answered, and to deal with any question that arises later.
Lawful basis: legitimate interests in responding to enquiries and complaints and keeping an accurate record of our dealings. Where your enquiry relates to a purchase, performance of a contract.
4.2 Mailing list and lead magnet capture data
What we hold: your email address, your first name where you give it, the capture point you came through, being the sign-up form on our website or the marketing opt-in at checkout, the date of sign-up, the free asset you requested, and your engagement with our emails including delivery, opens and clicks.
Why we hold it: to send you the free asset you asked for, to send you our emails, and to understand which emails are useful.
Lawful basis: consent, given at the capture point. You may withdraw consent at any time using the unsubscribe link in any email or by writing to hello@practitionersystems.com.
4.3 Purchase and buyer records, including the Buyer Identifier
What we hold: your name, your email address, your billing address, the country of purchase, your country of establishment, your VAT or tax identification number where you hold one, the product and version purchased, the date and amount of purchase, the transaction reference issued by the payment platform, your Buyer Identifier, the date and time of the business purpose confirmation and the immediate access confirmation you gave at checkout, the version number of each document you accepted, and your marketing opt-in state.
The Buyer Identifier is the unique reference added manually to the files supplied to you following your purchase. Your country of establishment is required at checkout, and your purchase cannot be completed without it. Your VAT or tax identification number is optional.
We do not hold your full card number. Card details are handled by Payhip and its payment providers and are never passed to us.
Why we hold it: to fulfil your order, to issue and administer your licence, to determine the correct place of supply and the correct tax treatment of your purchase, to meet our tax and accounting obligations, to deal with cancellation, refund and complaint, and to identify the source of any copy of our materials found in circulation.
Lawful basis: performance of a contract. Legal obligation for tax and accounting records, including the evidence required to determine the correct place of supply. Legitimate interests in evidencing the confirmations you gave at checkout and in protecting our intellectual property.
4.4 Access and delivery records
What we hold: the date and time of delivery, the delivery email address, the files issued, the version issued, the download and access log held by Payhip, and any re-issue of access.
Why we hold it: to prove what was supplied and when, to restore access where it is lost, and to investigate any dispute about delivery or any unusual pattern of access.
Lawful basis: performance of a contract. Legitimate interests in maintaining accurate delivery records and protecting our intellectual property.
4.5 Suppression list data
What we hold: your email address, the date you unsubscribed or asked to be removed, and the fact of the suppression.
Why we hold it: to honour your unsubscribe. Where you unsubscribe, we retain your email address on a suppression list after we remove you from the mailing list, so that our system recognises the address and does not add it again or email it again.
Lawful basis: legitimate interests in honouring your unsubscribe and preventing further contact. Deleting the record outright would remove our ability to recognise the address.
Retention: for as long as the suppression is required. This data is held on a suppression basis only and is never used to contact you.
4.6 Licence enforcement records
Covered at section 5.
5. Licence enforcement records
We hold a register of terminated licensees. Where a licence is terminated under section 10 of the Licence Terms, or where access is suspended or withdrawn under section 17 of the Purchase Terms and Conditions, the name, trading name, email address, purchase record, Buyer Identifier, date of termination and reason for termination are recorded and retained. The register is used to prevent a terminated licensee purchasing again under the same identity and to evidence consistent enforcement of the Licence Terms. It is checked manually before a purchase is accepted. Access to the register is limited to us, and it is never shared, published or disclosed to any other person.
Where we investigate a suspected breach of licence, we open a breach and evidence file. That file may hold the name and contact details of the person concerned, their purchase record, their Buyer Identifier, the Buyer Identifier or other markers found in the copy under investigation, copies of the material found in circulation, the source at which it was found, our correspondence with the person concerned, the allegation made and the outcome. Material may be found on public web pages, marketplaces and social platforms, or reported to us by a third party. A file may also contain personal data about a third party that is incidental to the breach, for example a name appearing in a copy found in circulation.
Lawful basis: legitimate interests in protecting our intellectual property and enforcing our contractual rights, and, where proceedings are in prospect, the establishment, exercise or defence of legal claims. We have considered the effect on the individual and consider the processing proportionate to the purpose, which is the detection and prevention of unauthorised reproduction and distribution of licensed material.
Retention: register entries are kept for six years from the date of termination. Breach and evidence files are kept for six years from closure, or six years from final resolution where the matter has been escalated to a solicitor or to proceedings.
We may share the contents of a breach and evidence file with our legal advisers, with a platform hosting the material found in circulation, and with a court or regulator where required.
6. Who we share your data with
We use the following processors. Each acts on our instructions and under a written contract.
Payhip. Processes your name, email address, billing address, country and payment details in order to take payment, issue receipts, handle refunds and chargebacks, deliver purchased files, restore access and maintain the access log. Where Payhip acts as reseller for your territory, it is the seller for the payment transaction and a controller in its own right for that transaction, and applies its own privacy notice.
Wix. Hosts our website and processes technical data including your IP address and server log data in order to serve and secure it. Through its sign-up form and Wix Email Marketing, processes your email address, first name, sign-up source and email engagement data in order to deliver our emails and free assets, manage unsubscribes and hold the suppression list. Through Wix Analytics, processes website usage data in order to report on how the site is used. Analytics cookies are set only where you consent.
Fastmail. Hosts our email account and processes the correspondence between you and us.
Microsoft. Provides Microsoft 365 Business Basic and stores our purchase, complaint and licence enforcement records through OneDrive.
We also share data with our accountant and our legal advisers where required, and with a court, regulator or law enforcement body where we are legally obliged to do so.
We do not sell your data and we do not share it for anyone else's marketing.
7. International transfers
Some of our processors are based outside the United Kingdom, or store data outside the United Kingdom.
Transfers out of the United Kingdom. Where personal data is transferred outside the United Kingdom, we rely on one of the following safeguards. UK adequacy regulations, where the receiving country has been recognised as providing an adequate level of protection. The UK Extension to the EU-US Data Privacy Framework, for transfers to certified organisations in the United States. The International Data Transfer Agreement, or the International Data Transfer Addendum to the European Commission standard contractual clauses, where neither of the above applies.
Transfers out of the European Economic Area. Where we process the personal data of an individual in the European Union and that data is transferred to a country outside the European Economic Area, including to the United Kingdom, we rely on one of the following safeguards. A European Commission adequacy decision, which covers transfers to the United Kingdom. The EU-US Data Privacy Framework, for transfers to certified organisations in the United States. The European Commission standard contractual clauses, with a transfer risk assessment and any supplementary measures required, where neither of the above applies.
You may ask us which safeguard applies to a particular transfer by writing to hello@practitionersystems.com.

Have inaccurate data corrected.
-
Have your data erased, where we have no continuing lawful basis for holding it.
-
Restrict our processing of your data in certain circumstances.

Object to processing carried out on the basis of legitimate interests, including the processing described at section 5.
-
Receive the data you have given us in a portable format, and to have it transmitted to another controller, where the processing is based on consent or contract and is carried out by automated means.
-

Complain to us and to a supervisory authority, as set out at section 11.
Where the EU GDPR applies to our processing of your personal data, you hold the equivalent rights under that Regulation.
To exercise any right, write to hello@practitionersystems.com. We will respond within one month. Where a request is complex, we may extend that period by up to two further months and will tell you if we do.
Some rights are qualified. Where we are unable to meet a request in full, we will explain why.
10. Automated decision making
We do not use your personal data for automated decision making, or for profiling that produces a legal effect for you or a similarly significant effect.
11. Complaints

Where the EU GDPR applies to our processing of your personal data, you also have the right to lodge a complaint with the supervisory authority in the member state where you live, where you work, or where the matter you are complaining about took place.
